2025 Christmas Festival & Pageant Market Stallholder Expression of Interest

About the Event

The City of Albany’s Christmas Festival & Pageant is one of the most significant events in the Great Southern region, attracting up to 10,000 community members to the Albany CBD on the first Saturday of December each year. The event brings together all members of the community in a collective celebration of the start of the holiday season. Albany’s CBD will come alive with a fun-filled afternoon of entertainment, featuring live music and family-orientated activities in the Town Square and Alison Hartman Gardens, centering around the traditional Christmas pageant on the main street of Albany.

 This vibrant celebration also aims to showcase the diversity of cultures in the Great Southern region. Every year, the event brings together community members from various cultural backgrounds to share in the joy of the holiday season. In addition to the traditional Christmas pageant, the festival will feature performances, markets, activities, and displays that represent the rich tapestry of cultures found in Albany.

In conjunction with the Christmas Festival & Pageant, the City of Albany will host the Christmas Markets in Alison Hartman Gardens on Saturday, 6 December, from 3pm to 8pm, offering a warm and inviting space for local artisans, small businesses, and individuals to connect with the community during the festive season.

These markets present a fantastic opportunity to showcase a wide array of unique products that reflect the diversity and creativity of Albany’s community. Whether it’s handcrafted gifts, local delicacies, or artistic creations, the markets celebrate the variety of traditions and talents that make our region special. With a large crowd expected for the Christmas Pageant, this is the perfect occasion to engage with shoppers and support local businesses in a vibrant holiday atmosphere.

How to apply

Stallholders can register their interest by completing the following Expression of Interest Form.

Please note submitting this Expression of Interest Form does not automatically result in acceptance to trade at the Christmas Festival & Pageant.

Applicants will be informed of the outcome of their application via email within 14 business days. Selection of applicants is at the City of Albany’s discretion. 

Applications close at 5pm, Monday 20 October 2025.

Terms and Conditions

General Participation
• If you need to withdraw from the event, please notify the Events Team at least 48 hours in advance. Same-day withdrawals should only occur in the case of an emergency. Timely notice ensures smooth operations for all participants.
• Stallholders are responsible for maintaining cleanliness and removing rubbish within a 1-metre radius of their stall throughout and following the event.
• Stallholders must hold valid Public Liability Insurance and provide an up-to-date Certificate of Currency to the Events Team prior to the event.
• All stall setups must be complete no later than 2:30 PM on Saturday, 6 December 2025, ready for trade

Stall Setup & Infrastructure
• The City of Albany will provide each stall with a marquee (approximately 3m x 3m or 6m x 3m).
• Stallholders are responsible for providing their own tables, tablecloths, chairs, and display materials.
• Sticky tape must not be used on marquees. If you need to hang items, please speak with the Events Team for appropriate options and support.
• Site allocations are at the discretion of the City of Albany Events Team and may change at any time, including on the day of the event.
• No vehicles are permitted on the Town Square or Alison Hartman Gardens grassed areas under any circumstances.
• Stallholders must remain open for the entire duration of the event and must not pack down before 8:00 PM.

Power, Lighting & Equipment
• The City of Albany will provide festoon lighting in front of each stall.
• Stallholders are encouraged to bring additional battery or solar-powered lighting if more illumination is required for their setup.
• Please confirm that all power requirements have been submitted. Additional power requests may not be accommodated closer to the event.

Food Vendors
• Stallholders selling food may require a Food Registration Certificate, depending on the nature of your offering. Please contact the City of Albany Environmental Health Team at [email protected] or call (08) 6820 3031 to confirm your requirements.

Weather Contingency
• The Christmas Markets are an open-air event and will proceed in most weather conditions. Stallholders must be prepared to trade regardless of the weather.
• In the event of extreme or unsafe weather, the City of Albany reserves the right to cancel the event. Notifications will be sent via text message as early as possible.

Bump-In & Communication
• Full details regarding bump-in times and site locations will be provided approximately one week prior to the event.
• Upon receiving this information, you will be required to review and confirm your understanding and agreement via email. Prompt acknowledgment will support a smooth and efficient setup for all stallholders.

Compliance
• The City of Albany reserves the right to reject or remove stallholders who do not meet or adhere to the terms and conditions outlined above.
