AFTER HOURS

After 5:00pm if you discover an emergency, e.g., fire, chemical spill, bomb threat,

etc.: raise the alarm by contacting.

EVACUATE YOUR AREA THROUGH THE NEAREST, MOST SAFE EXIT TO THE

NEAREST ILLUMINATED CAR PAK OR SAFE OPEN AREA.

The most important thing you can remember in an emergency is to follow "RACE".

-Remove people from immediate danger 

-Alert others in the area and alert Security 

-Contain the emergency e.g., closing door if possible

-Evacuate or extinguish if trained and safe to do so

Be familiar with Emergency Evacuation procedures and signs.

Make sure everyone in your area has been evacuated.

Evacuate any people with physical disabilities or injuries to a place of safety in a

manner that does not harm them and inform Emergency Services for priority evacuation.

Seek assistance and/or follow instructions from Southcoast security and/or Emergency services.

VOLUNTEERS, CONTRACTORS,

STUDENTS & VISITORS

RESPONSIBILITIES:

Volunteers, contractors, students and visitors are responsible for acting in a safe manner while on site.

This includes not placing themselves or other people in an unsafe situation.

Visitors logbook:

Anyone who is not an employee must sign the logbook to receive an identification tag.

The term "Visitors" would include anyone who is not an employee of the City of Albany such as associates,

work experience students, volunteers, salespeople, tradespeople, etc. Delivery and post people would be exempt from this.

Evacuation:

Should an evacuation be necessary, employees should ensure all volunteers, work experience students and

visitors are evacuated to the appropriate assembly area. 

Customer Service/Administration should take the logbook for visitors to the assembly area.

When leaving the building, close doors and windows as you exit - do not lock doors. Leave lights on.

In case of an evacuation, if a visitor is missing, report this to the warden in that area, who will

report it to the chief warden, making sure that the name and last location of the missing visitor is available.

 

EMERGENCY EVACUATION

If you come across an Emergency Situation
1) Alert those around you of the emergency. Do not shout or cause panic.


2) Report details of the emergency and its location to your supervisor /
manager who will notify the Chief Warden or if after 5.00pm see “After
Hours” section.


3) Carefully describe: -
• The location of the emergency i.e., building number, room number.
• The type of emergency - i.e., fire, chemical spill, suspicious object.
• Your name and extension number.


4) At the sound of the evacuation alarm everyone should make their way to
the assembly point by the most direct route. Take responsibility for the
evacuation of any visitors or guests.

EMERGENCY EVACUATION
PROCEDURES
Evacuate to the Assembly Point.
Unless advised otherwise by a Fire Warden.


1) Check for any sign of immediate danger.


2) Evacuate following the nearest safe EXIT sign or as directed by Fire Warden.


3) Employees to escort volunteers, guests, visitors & those who require assistance.


4) Move quickly, DO NOT RUN and keep calm and quiet.


5) All doors should be closed (but not locked) on leaving.

In Case of a Fire in an Office:
• Fire Warden/ Staff member is to evacuate the area.
• If the fire is a small fire, extinguish with an appropriate fire extinguisher if
  trained to do so only.


6) If the fire cannot be extinguished ring (0) 000.


7) DO NOT return to the building until instructed by your Chief Warden.

 

SPILLS & LEAKS

On discovering a Chemical Spill or leak, the first person should:


1) Assess the situation and gather information then contact and advise the
Chief Warden who will determine if evacuation is needed.


2) Begin immediate action if:
• Safe to do so, extinguish all ignition sources.
• People are injured, immediately wash with water the area of the body
that came in contact with the chemical.
• Able stay with the injured person and instruct the nearest employee to
let the Chief Warden know emergency services are required.
• Withdraw all personnel from the immediate area and stop people
entering the area.


3) If after 5.00pm use the “After Hours” contacts at the front or if serious
call (0) 000.


4) When the Chief Warden arrives advise them of your involvement and
actions.


5) The Chief Warden will determine if the area can be ventilated or cleaned
up by staff, ensuring that employee safety is not compromised.


6) The area will be returned to operation only after it has been cleared by
the emergency service or the Chief Warden.

 

BOMB THREAT/PACKAGES

FOR A BOMB THREAT or SUSPICIOUS OBJECT


If an object is found:


DO NOT DISTURB OR HANDLE!


1) Do not touch it, clear the area and prevent other personnel from going
near the object.


2) Report the find to the Police on (0) 000

.
3) Treat as genuine.


4) Record exact information.


5) Do not use mobile phones, two-way radios or other electronic equipment
that may trigger a device – turn off mobile phones and two-way radios.


6) Do not use break-glass alarm, public address system, mobile phones or
two-way radios.


7) Be prepared to evacuate – await further instructions from the Police

BOMB THREAT BY PHONE


It’s important that the receiver of the call record the exact message given by
the caller.


• Keep the caller on the line as long as possible (Do not hang up phone once
caller has gone. The call may still be able to be traced back to the caller.)


• Stay calm, converse in a non-confrontational tone.


• Signal to a nearby employee the nature of the call, and for them to contact
the Chief Warden.


• Use the Phone Threat Checklist if able and record information for the Police
and Chief Warden.

KEY QUESTIONS TO ASK

• WHEN is the bomb going to explode?


• WHERE is it right now?


• WHAT does it look like?


• WHAT kind is it?


• WHAT will cause it to explode?


IMMEDIATELY AFTER THE CALLER HANGS UP


Do not panic, go to the nearest phone and raise the alarm by contacting the
Chief Warden if not already done so or if after 5.00pm see ‘After Hours’
section on the front of this flipchart. Fill in the Phone Threat Checklist.
